STALL HOLDER TERMS AND CONDITIONS

SITE ALLOCATION

Site allocation is at the sole and total discretion of the organisers. Sites are pre-allocated and cannot be changed on the day.

FEES

All applicable fees MUST be made at the time of your application. No payments will be accepted on the day. Wandandian Progress Association Inc. reserves the right to decline any application, in which case fees paid will be refunded in full.

SETUP

Stall holders will be granted access from 6.30am to setup their sites. Setup is to be finalised, and all vehicles removed and parked in the designated parking area, by 8.00am.

EARLY DEPARTURES

In the best interest of the Wandandian Expo and as a courtesy to fellow traders, early departures will not be permitted.  Stall holders may begin packing up from 2:00 pm.

Marquees/gazebos are to remain erected until close of market trade.

In the event of a ‘sell out’, stall holders are to display a sign indicating that their goods are ‘sold out’ and marquees/gazebos are to remain standing.

Consideration will be given to special circumstances and only by prior arrangement.

In the event that an early departure has been approved by the organising committee, marquees/gazebos and all equipment must be ‘walked’ out.

No vehicle access during market trade hours.

All Vehicles must be off the grounds by 8:00 am

NO Vehicles are to be driven onto market grounds until 15 minutes after closing time and when permission has been provided to enter.

Stall holders are NOT allowed to commence pack up until the end of the market hours.  2 warnings then stalls are not invited back.

FOOD

It is the stall holder’s obligation to ensure that all Council and Government guidelines and health regulations are met, that the setup of the stall meets all Council, health and safety requirements and that these obligations are met at all times and are adhered to.

A copy of the stall holder’s TEMPORARY FOOD STALLS LICENCE must be provided to the organising committee prior to attending the event.  See Shoalhaven Council’s website for more information www.shoalhaven.nsw.gov.au

PRODUCTS

It is important that stall holders accurately specify the nature of their stalls and the types of products to be sold. Items that can be used to create injury or nuisance such as toy weaponry (guns, bows and arrows, etc.), crazy string and stink bombs are strictly prohibited. Stall holders contravening this requirement or failing to accurately describe their products may have their trading terminated and forfeit their payment. If you have photos of your stall or product items, please attach to the application form. Stall holders are not permitted to trade or solicit outside the boundaries of their stall site. Public address systems are also not permitted.

ELECTRICITY & ELECTRICAL EQUIPMENT

Powered sites are limited, and strict conditions apply to their use. If you require a powered site this must be indicated on your application. Powered sites incur an additional fee per site. Stall  holders should prepare for no electricity.

Limits to the number of power points allocated and amperage available applies.  Stall holders are to ensure that all power leads and/or electrical appliances used are safe and that they comply with Occupational Health & Safety (OHS) requirements and are tagged and tested in accordance with statutory guidelines.  The organisers do not accept responsibility for the consequences of any power failures or disconnection. Credits/refunds will not be given for any electrical supply issues.

WASTE AND RUBBISH REMOVAL

Stall holders are to remove all of their own rubbish, boxes and unwanted goods from the market site at the conclusion of the event. Wheelie bins located on Wandandian Progress Association Hall land and adjacent to Woodchop arena are for public use only; they are NOT for use by stall holders.

Box waste/packaging: stallholders are required to flatten, store and TAKE AWAY all waste and packaging.

Bulk food/cooking wastes: stallholders are required to store and TAKE AWAY these wastes.

Waste must be stored in a manner that deters flies and wasps (e.g. sealed plastic bags).

All sites and surrounds must be kept clean during the day and left fully clean at the end of the day.

PUBLIC LIABILITY

All stall holders are required to provide a certificate of currency for public liability (and products liability where applicable) to an amount of, at least, $10 million dollars. This MUST be included with your application. If the certificate of currency expires before the Community Expo and Woodchop, please include the current certificate with your application and forward the renewed certificate as soon as it is obtained.

Stall holders will NOT be permitted to trade without a current public liability certificate and will forfeit any fees paid.

DISCLAIMER

Wandandian Progress Association Inc. reserves the right to refuse entry to any person and/or trader or to refuse the sale of any item and/or product.  Wandandian Progress Association Inc., its operator/s, volunteers, agents and/or assignees shall not be liable for the loss or damage to any vehicle, anything therein, or to any person from whatever cause arising and whether due to the negligence of the Wandandian Expo operator, its servants and/or agents or otherwise.

CAR SHOW ENTRANT TERMS AND CONDITIONS

ENTRY FORM / REGISTRATION:

  • Registration 
  • Payment by direct transfer to the Association’s bank account is preferred, but payment can be made my cheque (payable to “Community Expo and Annual Woodchop” and sent to The Treasurer, Wandandian Progress Association Inc., D2683 Princes Hwy, Wandandian. 2540
  • The organisers reserve the right to refuse entry to any vehicle that does not meet the criteria.

ENTRY TO THE SITE:

  • Entry to the event site for Car Show entrants is from 8:00 am via the gate opposite the mechanics and must be set up by 8am.

SITE RULES:

  • All vehicles and trailers must be registered and insured.
  • No commercial advertising outside vehicle unless part of a commercial stall that has been booked and paid for.
